Purpose

The office of Student Enrollment Services exists in order to improve the effectiveness of recruiting and enrolling new students as well as retaining current students. Specifically, the person will work closely with other members of the division to implement strategies and initiatives to assist Prairie to achieve its recruitment, enrollment management, and retention objectives. The primary goals are to oversee the enrollment of new students and manage the services of financial aid, student immigration, student health insurance, student accounts and course registration (in cooperation with the Registrar’s Office), including managing part-time staff that serves students in these areas. A significant portion of this person’s time will be spent on planning, managing, and administering the financial aid programs in accordance with government and internal policies and regulations and to obtain the best financial aid available for students in accordance with their eligibility and needs. The Director of Student Enrollment Services is critical to a students’ ability to participate, persevere and succeed at Prairie. These services include tracking applications of new students and communicating with applicants who can be considered for bursaries, scholarship, government loans or other forms of financial aid. Similarly, these services include maintaining contact with current students to determine and communicate eligibility for various forms of financial aid. This position reports to the VP Marketing & Enrollment Management.

 

Responsibilities

  • To positively represent Prairie in the community at large, in order to enroll well-qualified students;
  • To oversee the staff who serve students in the Enrollment Services functions;
  • To compile, file and database financial aid application documents as they are submitted;
  • To actively pursue and communicate with applicants the status of their application, advise on how to make a successful application, to coordinate and conduct follow up with applicants who have incomplete applications, as well as communicate all decisions made by the Financial Aid Committee;
  • To maintain and implement all bursaries, scholarships and other aid programs;
  • To oversee and implement all aspects of provincial, federal and US loan programs;
  • To develop institutional policies and procedures pertaining to all areas within the Financial Aid office;
  • To partner with the Admissions department to insure prospective students are aware of the financial assistance options at Prairie;
  • To be a member of the Financial Aid Committee;
  • To provide information as necessary to the department on campus from student applications and conversations;
  • To assist in department related activities including campus visit events, recruitment-oriented events and programs on campus as needed.

 

Qualifications:
The ideal candidate will possess the following characteristics, experience and talents:

  • Bachelor’s degree preferred or equivalent combination of education and experience (experience with theological education would be an asset);
  • Demonstrated commitment to providing outstanding customer service;
  • Ability to manage and organize a large volume of documentation;
  • Ability to develop financial aid reports and skilled in handling numbers;
  • Innovative and adept at discerning important connections within data;
  • Extremely organized, with a high attention to detail;
  • Must have a proven record of tact, diplomacy, and relational skills;
  • Proven leadership in developing and implementing institutional policies that leverage financial aid;
  • Ability to analyze and participate in budget preparation for the Financial Aid Office;
  • Ability to communicate effectively with students, staff, faculty and the general community concerning sensitive issues relating to finances;
  • Ability to be proactive in their representation of applicants with all other departments at Prairie (i.e. Admissions Committee, Registration, Residence, Financial Aid, etc.);
  • Ability to bring ingenuity and creativity to tasks and problem solving;
  • Be a self-motivated, "team player" who will take responsibility for his/her actions and work;
  • Strong ability with computers, MS Office software, and database management;
  • Financial Aid office experience will be considered an asset (knowledge of provincial and US loan programs).
